- **No automatic renewal in year one.** We remind you 60 days before the first year ends. The licence renews only if you choose to renew.
- **Invoicing.** Annually, or termly if you ask.

## How to start (England)

1. **Walkthrough.** A 30-minute walkthrough on a fictional plan. No pupil data, no commitment, and it costs nothing.
2. **Licence.** If the walkthrough is useful: an annual licence at the prices above.

**Audit Sprint (optional).** For an organisation that would like a batch of its plans reviewed first: a one-off check of up to 20 of the organisation's EHCPs, delivered within 15 working days once four things are in place: a data processing agreement (DPA, the contract that sets out how Sendix handles pupils' data on the organisation's instructions) signed by both parties, for the organisation by someone it has authorised; a current Cyber Essentials certificate, held by Sendix; Sendix's written confirmation that real plans are released for that organisation only; and the plans. Until Sendix's independent penetration test is complete, Sendix releases no more than 3 organisations, each only after its data protection officer accepts in writing that the test is still to come. For each plan: every Section F finding with its basis, wording only where the evidence supports it, and an amendment document with only the changes staff accepted; across the Sprint, the gaps that recur and a 60-minute debrief. If Sendix can't start within 60 days of the order form being signed, the organisation can cancel for a full refund. The same three things, and the same release rule, apply before any real plans are used under a licence. A licence covers review preparation, plan wording checks and delivery records.

The organisation decides after each step, and nothing becomes a licence until it signs one. Measured during the pilot: how many suggestions staff accepted and rejected, and the time from upload to reviewed suggestions. No time saving is quoted.

## How to start (Scotland)

Walkthroughs on a fictional Child's Plan or IEP, for schools (including independent and grant-aided schools) and councils, then a pilot whose scope, length and exit are agreed with the organisation, then a licence at the prices above. Practitioners mark each flag as correct or incorrect, note anything Sendix missed, and say whether the flags helped them prepare for reviews.

## Questions

- **Who signs?** The organisation that controls the pupils' data, through someone it has authorised: the academy trust for an academy, the governing body for a maintained school, the proprietor for an independent school, the board of managers for a grant-aided school, or the council for a council school. It accepts the terms of service and signs the DPA in the Sendix app, and Sendix countersigns. In England the Audit Sprint and the licence each have an order form.
- **What does a trust pay for, compared with a school?** A trust pools its plans: £50 a plan a year across all its schools, with a minimum of £3,000 and a cap of £9,500 a year. A single school pays £750 for up to 15 plans.
- **Can we cancel, and does it renew?** The walkthrough commits you to nothing. The Audit Sprint is cancellable for a full refund if Sendix can't start within 60 days of the order form being signed. In the first year the licence does not renew automatically: Sendix reminds you 60 days before it ends, and it renews only if you choose to. Prices are fixed for the term; licence fees are invoiced annually, or termly on request (terms of service, clauses 4 and 10: https://sendix.ai/terms).
- **Is VAT included?** No. Prices exclude VAT, which is added where it applies.
- **Does the walkthrough cost anything?** No. It is free, uses a fictional plan, and has nothing to sign.
